About the Project
We are currently seeking an experienced Virtual Assistant(Operations & Automation) for our key client, a fast-growing operations consultancy specializing in streamlining and automating business workflows. The company focuses on optimizing administrative processes, including LinkedIn tracking, invoicing, credit control, and sales follow-up sequences, to improve efficiency and drive business growth. With a mission to empower business leaders through automation and process improvement, they are committed to reducing manual efforts and enabling their clients to focus on scaling and innovation.
We are looking for a Virtual Assistant (Operations & Automation) to manage automated workflows, assist with LinkedIn tracking, invoicing, credit control, and sales follow-up sequences. This remote, part-time role offers flexible hours, with a mandatory time slot for invoicing and LinkedIn engagement. The ideal candidate will be proactive, detail-oriented, and highly organized, ensuring the smooth running of operations and optimization of business processes.
Your Duties:
As a Virtual Assistant (Operations & Automation), you will be responsible for:
Managing automated LinkedIn tracking, ensuring all new connections are logged into a spreadsheet with automated tagging for follow-ups.
Handling invoicing and credit control tasks, including issuing invoices within 24 hours and tracking them in a spreadsheet.
Following up on overdue payments weekly to maintain a 90%+ on-time payment rate.
Creating and maintaining an automated sales follow-up sequence, ensuring at least a 50% response rate within the first week.
Identifying and implementing automation tools (e.g., Zapier, Airtable) to streamline repetitive tasks and optimize workflows.
Supporting the optimization of existing operational processes to improve efficiency.
Assisting with basic bookkeeping practices and managing financial data in a structured manner.
Continuously monitoring and improving workflows to reduce manual effort and increase productivity.
Requirements:
At least 3 years of experience in operational automation, workflow management, or process optimization.
Strong proficiency with automation tools like Zapier, Airtable, or similar platforms.
Exceptional organizational skills with the ability to manage invoicing, credit control, and sales follow-up tasks efficiently.
Proactive approach to identifying areas for improvement and implementing solutions without being prompted.
Excellent attention to detail and the ability to maintain structured systems for tracking and follow-ups.
Strong communication skills for crafting professional follow-up sequences and handling client interactions.
Comfortable working remotely and independently, with the ability to manage flexible hours effectively.
Ability to work on both technical and administrative tasks simultaneously, ensuring deadlines are met.
English language upper intermediate (B2) is a must
